Privacy Statement

This statement explains how we process personal data collected through this website and as part of the AI receptionist service.

1. Controller

When the service is used by one of our business customers (a clinic or a restaurant, for example), that customer is the controller of the data of their patients, guests and clients, and we act as the processor on the basis of a processing agreement.

2. What data we collect

  • Data from the form: full name, email address, mobile number and the line of work you state.
  • Data from correspondence: the content of any enquiry you send us by email, message or through the chat on the site.
  • Data from conversations with the AI receptionist: in demo conversations and in live use, a call recording, a transcript and a summary of the conversation are created.
  • Technical data: server logs (IP address, time of access, browser type), necessary for the security and operation of the site.

3. Purposes and legal bases

  • Replying to an enquiry and arranging a demo call — steps taken at the request of the data subject prior to entering into a contract (Art. 6(1)(b) GDPR).
  • Providing the service to business customers — performance of a contract (Art. 6(1)(b)), or processing on the controller's instructions (Art. 28 GDPR).
  • System security and prevention of misuse — legitimate interest (Art. 6(1)(f)).
  • Compliance with legal obligations — accounting and telecommunications regulations (Art. 6(1)(c)).

4. Conversations with the AI

Mareta introduces itself as artificial intelligence at the start of the conversation, in accordance with Regulation (EU) 2024/1689 (the EU AI Act). Recordings and transcripts are created so that the conversation can be carried through to an outcome (an appointment, an enquiry, a handover to a person) and so that the customer has a record of what was agreed. Retention periods are agreed with the business customer and set out in the data processing agreement.

Mareta does not take decisions producing legal effects, nor decisions that would similarly significantly affect an individual, and it does not give medical, legal or financial advice.

5. Where the data is processed

Data is processed in the Republic of Croatia, in infrastructure operated by INFO NETWORK d.o.o., in an environment certified to ISO/IEC 27001. We do not transfer data outside the European Economic Area, unless this is necessary for a specific feature you have expressly requested — in which case we inform you beforehand.

6. Recipients of the data

Only those of our employees who need it for their work have access to the data, under access control. We may share data with processors providing us with technical services, with the competent authorities where the law requires it and, in the case of the service, with the business customer on whose behalf we process the data. We do not sell data.

7. Retention periods

  • Data from the contact form: up to 12 months from the last contact, unless a business relationship arises from it.
  • Recordings and transcripts of conversations: as agreed with the business customer.
  • Accounting records: in line with statutory periods.
  • Server logs: up to 12 months.

8. Your rights

You have the right to access your data, to rectification, erasure, restriction of processing and portability, and the right to object to processing based on legitimate interest. You can send a request to poslovni@komunal.ai. We reply within one month at the latest.

If you believe we are processing your data unlawfully, you may lodge a complaint with the Croatian Personal Data Protection Agency (AZOP), Selska cesta 136, 10000 Zagreb.

9. Cookies

The site does not use cookies for tracking or advertising. We use only the technically necessary logs required for the operation and security of the site. Fonts are loaded from Google Fonts, in the course of which your IP address is transmitted to that provider in order to deliver the files.

We may amend this statement as the service develops. The date of the last change is given at the top of the page.
